The following checklist should help you fulfill your event needs. However, these tasks are not all-inclusive. There may be additional needs related to your specific situation. Consult with your Hilton event coordinator if you have additional questions or concerns.
- Set a budget
- Consider whether you want to hire a private event coordinator
- Create a guest list (determine out-of-town guest needs)
- Visit and book event site
- Meet with caterer/chef/planner and choose menu and beverages
- Choose specialty cake
- Select a tentative date/time and alternate date/time
- Order and send out invitations
- Determine an event agenda (order of activity and length of time for each)
- Select a florist
- Hire a photographer and/or videographer
- Get ideas for music, select a band or DJ
- Create a gift registry, if needed
- Begin thank-you notes for early gifts
- Consider booking a farewell brunch
- Send reservation deadline reminder to guests who have not booked
- Consider whether to provide amenity bags
- Determine parking and transportation needs
- Purchase favors and accessories
- Determine seating arrangements and prepare placecards
